New IT Asset Management Policy Available

As part of the university's commitment to managing costs and resources, Information Technology Services has established the IT Asset Management (ITAM) office. The ITAM office is responsible for accepting and verifying shipments of IT assets, as well as delivering and deploying IT assets to departments.

IT Services, Procurement and Property Accounting representatives collaborated on the creation of a ITAM policy, which was recently approved by university leadership. The policy outlines the purpose and scope IT asset management on campus and the methods for the procurement of IT assets. This policy applies to everyone on campus regarding all IT asset purchases.

All employees have an important role to play for proper IT asset management, including the procurement, care and disposal of IT assets. Proper management of these assets helps the university allocate resources efficiently and make informed IT planning and procurement decisions.

IT assets include computers, camera and video equipment, and printers. IT assets do not include accessories such as portable storage devices, cables, routers, software and related equipment (e.g., locks, cabinets, batteries, keyboards, mice, etc.). Per the policy, IT assets include those purchased or received as gifts or loans, and assets must be properly tagged and inventoried. IT asset purchases requests must be submitted through the systemwide purchasing system. The on-campus Tech Store is the preferred vendor for most computer purchases.

If your department is receiving IT assets under these conditions, please contact the ITAM office to ensure correct asset tagging and accounting.
