U of A Implements New Holiday Leave Process

This year, the university has implemented changes to the Workday process for employees who work during university-observed holidays, per U of A System Policy.

During weeks with a university-observed holiday, employees who report more than 40 hours — or those who work through the holiday — will receive those hours in their holiday leave bank in Workday that they can use at any point during the calendar year, following the accrual. These accrued hours will not carry over to the following calendar year. University-observed holiday hours are entered into the holiday leave bank toward the beginning of the month in which the holiday occurs.

Entering Leave in Workday

Employees can enter holiday leave by:

  1. Clicking the "Absence" application
  2. Clicking "Request Absence" under the "Request" section (the absence calendar will display)
  3. Selecting the date to use holiday time off for (when selecting holiday time off, only one day can be requested at a time)
  4. Clicking "Request Absence"
  5. Selecting "Time Off" and then "University Holiday" before clicking "Next"
  6. Clicking the "Edit Quantity Per Day" button and entering their normal scheduled hours
  7. Inputting the corresponding holiday into the "Reason" field and then clicking "Submit"

Employees who work through a holiday and need their time adjusted retroactively may contact their HR partner (HRP), and they may also contact their HRP at any point with questions about entering time or concerns about timekeeping records.
